Planned Counts

Planned counts are used by the inventory team and operations should they wish to control what count records are created.

  • On the menu select Logistics -> Counting -> Planned Counts. 
  • Click on the “Create New” button.
  • To perform a full stock take for this client, select the client from the “Client” dropdown and then set “Full Count” to “Yes”. Click the preview button to view the predicted planned count records that will be created for this client. Click the “Create” button to create this full planned count along with the associated count records.

  • Planned Count also allows the user to create count records based on various filters to control what count records will be created. Select the client from the “Client” dropdown and then set “Full Count” to “No”. The following filters can be set to control what count records will be created:
    • Max Locations: Limits the total number of count records to be created for this planned count. E.G if the user specifies 100 as the “Max Locations” then only the top 100 count records will be created.
    • Location Wildcard: Determines the locations to be counted based on the pattern specified. E.G enter “PF” to create count records for all locations that start with the text “PF”.
    • Start Sort Order: Returns all the locations greater than or equal to this value. This can be used in conjunction with “End Sort Order” to form a “between” expression.
    • End Sort Order: Returns all the locations less than or equal to this value. This can be used in conjunction with “Start Sort Order” to form a “between” expression.
    • Zone: Group of locations as defined by the zone created in Location Management.
    • Module: Group of locations as defined by the module created in Location Management.

      Click the preview button to view the predicted planned count records that will be created for this client based on the filters set. Click the “Create” button to create this filtered planned count along with the associated count records.



Continuous Inventory

Continuous Inventory is the process of automated count record release. At the end of the day in each DC the system will automatically create count records for clients that have been activated and setup to use Continuous Inventory.

Once all count records have been created in a Continuous Inventory run, no further count records will be created until all count records have been completed or cancelled within that run. Once that is done, the system will automatically start a new Continuous Inventory run if it is not in a paused state..

  • New
    • On the menu select Logistics -> Counting -> Continuous Inventory. 
    • Click on the “Create New” button to start the process of activating a new client to use Continuous Inventory. 
    • Select the client from the “Client” dropdown. Only clients that have access to use Continuous Inventory will be displayed. 
    • Set the “No. of Releases”. This is the number of new count records that will be created each day for this client. 
    • If you do not want count records to be created on the weekend then set “Include Weekends” to “No”. 
    • Click the “Save” button to activate this client to use Continuous Inventory.

       
  • Edit 
    • On the menu select Logistics -> Counting -> Continuous Inventory. 
    • Click the edit button next to the Continuous Inventory record you want to update. 
    • Update the Continuous Inventory settings for this client and then click on the “Save” button to commit these changes.

  • Pause 
    • Pausing a Continuous Inventory record will temporarily stop automated count record releases. This can be used to complete various counts without any new count records being created by the automated Continuous Inventory process. This can be done on a per client basis. 
    • On the menu select Logistics -> Counting -> Continuous Inventory. 
    • Click the pause button next to the Continuous Inventory record you want to pause.
    • Click “OK” to confirm. Count Records will no longer be automatically created for this client until this Continuous Inventory record is activated again (by clicking the play button). 
  • Play 
    • On the menu select Logistics -> Counting -> Continuous Inventory.
    • Click the play button next to the Continuous Inventory record you want to activate again.
    • Click “OK” to confirm. Count Records will now once again be automatically created at the end of day for this client.
  • Delete 
    • On the menu select Logistics -> Counting -> Continuous Inventory. 
    • Click the delete button next to the Continuous Inventory record you want to delete.

    • Click “OK” to confirm the deletion. Count Records will no longer be automatically created for this client going forward.



Pick Denial

If a client has access to pick denial then every time a pick is skipped on the iPod then a new count record will be created if an active or recount record does not already exists.

  • On the iPod select “Fast Dispatch”.
  • Scan or Select a Pick for this client.
  • Click the “Skip” button.
  • Logistics -> Counting -> Count Records -> Open Count Records: This location / licence plate that was skipped will now have an active count record.
  • On the iPod select “DPA Dispatch”.
  • Scan or Select a Pick for this client.
  • Click the “Skip” button.
  • Logistics -> Counting -> Count Records -> Open Count Records:This location / licence plate that was skipped will now have an active count record.



iPod Counting (Directed Counts)

  • On the iPod menu select “Counting”.


  • Select a client from the “Client” dropdown. The count types this client has access to will now be displayed. 
  • Select a type from the “Count Type” dropdown. (other than Free Count) 
  • Select the status of the count record to be counted from the “Count Status” dropdown: 
  • Active: A new count record to be counted for the first time. 
  • Recount: A count record required to be counted again due to there being a variance between the system quantity and the count quantity as well as there being no concurrent matching counts. 
  • Any: Returns any open count record (Active OR Recount). 

  • Tap the Next button.



  • Scan the starting location. The system will find the count record that is closest to this starting location based on the client / count type / count status / sort order combination.



  • The system now displays the closest location based on the starting location specified. Go to this location and scan this location in the “Confirm Location” text box.

  • The system will find the first count record within this confirmed location. The following details pertaining to this count record will be displayed to the user: 
    • Location 
    • SKU 
    • Licence Plate 
    • Lot No 
    • Best Before Date 
    • Product Description 

  • The user can count this SKU, enter the quantity that was counted and then tap the “Next” button to complete the count.



  • If there are multiple SKU’s within this location then the user can quickly access the required SKU to be counted by clicking the “Scan SKU” button. Scan the SKU in the “SKU” text box. If there is only one matching SKU, then the user can count this SKU, enter the quantity that was counted and then tap the “Next” button to complete the count. If there are multiple count records within this location with the same SKU then the system will allow the user to select a count record from a list.


  • If the count quantity entered by the user matches the system quantity then the count record status changes to “Complete” and no Count Adjustment record will be created. 
  • If the count quantity entered by the user does not match the system quantity and it also does not match the previous count quantity for this count record, then the status is set to “Recount”. 
  • If the count quantity entered by the user does not match the system quantity but it does match the previous count quantity for this count record, then the status is set to “Complete” and a Count Adjustment record will be created for the variance. 
  • Once the count is complete, the system will direct the user to the next closest location based on the client / count type / count status / sort order combination.



iPod Counting (Free Count)

  •  On the iPod menu select “Counting”.

  • Select a client from the “Client” dropdown. The count types this client has access to will now be displayed. 
  • Select “Free Count” from the “Count Type” dropdown. 
  • Tap the Next button.

  • Scan the location you want to perform a free count on.



  • Scan the SKU you want to count in this location.



  • If the same SKU exists multiple times within this location then the system will allow the user to select a count record from a list.


  • The following details pertaining to this count record will be displayed to the user: 
    • Location 
    • SKU 
    • Licence Plate 
    • Lot No 
    • Best Before Date 
    • Product Description
  • The user can count this SKU, enter the quantity that was counted and then tap the “Next” button to complete the count.



  • If the count quantity entered by the user matches the system quantity then the count record status changes to “Complete” and no Count Adjustment record will be created. 
  • If the count quantity entered by the user does not match the system quantity and it also does not match the previous count quantity for this count record, then the status is set to “Recount”. 
  • If the count quantity entered by the user does not match the system quantity but it does match the previous count quantity for this count record, then the status is set to “Complete” and a Count Adjustment record will be created for the variance. 
  • Once the count is complete, the user can perform another Free Count. 



Open Count Records 

  • On the menu select Logistics -> Counting -> Count Records -> Open Count Records. 
  • Count records with a status of “Active” or “Recount” will be displayed on the “Open Count Records” tab. 
  • Open count records allows the user to view all outstanding count records still to be completed. 
  • The user can click the Expand button to view a full history of counts performed against the count record. 

  • The user can select one or many count records and click the “Cancel” button below the grid to cancel these selected count records. The date these count records were cancelled and the user that performed the cancellation will be logged.



Closed Count Records 

  • On the menu select Logistics -> Counting -> Count Records -> Closed Count Records. 
  • Count records with a status of “Complete” or “Cancel” will be displayed on the “Closed Count Records” tab. 
  • The user can click the Expand button to view a full history of counts performed against the count record.



Open Count Adjustments 

  • On the menu select Logistics -> Counting -> Count Adjustments -> Open Count Adjustments. 
  • Count adjustments with a status of “Pending” will be displayed on the “Open Count Adjustments” tab. 
  • Open count adjustments allows the user to view all outstanding count adjustments (both positive and negative) for all clients. 



Positive Count Adjustments 

  • On the menu select Logistics -> Counting -> Count Adjustments -> Positive Count Adjustments. 
  • Select a client from the “Client” dropdown and click the search button. 
  • Positive count adjustments with a status of “Pending” will be displayed for the selected client. 
  • The user can select one or many count adjustments and click the “Confirm” button below the grid to confirm these selected count adjustments. The date these count adjustments were confirmed and the user that performed the confirmation will be logged. These count adjustments will then go into a queue and be processed by a Scheduler. The status of these count adjustments will be set to “ScheduledComplete”.
  • The user can click the “Confirm All” button to confirm ALL the count adjustments listed for this client without having to make any selections. The date these count adjustments were confirmed and the user that performed the confirmation will be logged. These count adjustments will then go into a queue and be processed by a Scheduler. The status of these count adjustments will be set to “ScheduledComplete”.
  • The user can select one or many count adjustments and click the “Cancel” button below the grid to cancel these selected count adjustments. The date these count adjustments were cancelled and the user that performed the cancellation will be logged.
  • The user can click the “Cancel All” button to cancel ALL the count adjustments listed for this client without having to make any selections. The date these count adjustments were cancelled and the user that performed the cancellation will be logged.



Negative Count Adjustments 

  • On the menu select Logistics -> Counting -> Count Adjustments -> Negative Count Adjustments. 
  • Select a client from the “Client” dropdown and click the search button. 
  • Negative count adjustments with a status of “Pending” will be displayed for the selected client. 
  • The user can select one or many count adjustments and click the “Confirm” button below the grid to confirm these selected count adjustments. The date these count adjustments were confirmed and the user that performed the confirmation will be logged. These count adjustments will then go into a queue and be processed by a Scheduler. The status of these count adjustments will be set to “ScheduledComplete”. 
  • The user can click the “Confirm All” button to confirm ALL the count adjustments listed for this client without having to make any selections. The date these count adjustments were confirmed and the user that performed the confirmation will be logged. These count adjustments will then go into a queue and be processed by a Scheduler. The status of these count adjustments will be set to “ScheduledComplete”. 
  • The user can select one or many count adjustments and click the “Cancel” button below the grid to cancel these selected count adjustments. The date these count adjustments were cancelled and the user that performed the cancellation will be logged. 
  • The user can click the “Cancel All” button to cancel ALL the count adjustments listed for this client without having to make any selections. The date these count adjustments were cancelled and the user that performed the cancellation will be logged.



Scheduled Count Adjustments 

  • On the menu select Logistics -> Counting -> Count Adjustments -> Scheduled Count Adjustments. 
  • Count adjustments with a status of “ScheduledComplete” will be displayed. 
  • Scheduled count adjustments allows the user to view all count adjustments in the queue ready to be processed by the Scheduler. 
  • The user can select one or many scheduled count adjustments and click the “Cancel” button below the grid to cancel these selected scheduled count adjustments. The date these count adjustments were cancelled and the user that performed the cancellation will be logged.



Invalid Count Adjustments 

  • On the menu select Logistics -> Counting -> Count Adjustments -> Invalid Count Adjustments. 
  • Select the “Type” as either positive or negative and click the search button. 
  • For positive invalid count adjustments this will list all positive count adjustments where the increase in stock would result in the capacity set for the location being exceeded. 
  • For negative invalid count adjustments this will list all negative count adjustments where the decrease in stock would result in negative stock in that location. 
  • The user can select one or many invalid count adjustments and click the “Cancel” button below the grid to cancel these selected invalid count adjustments. The date these count adjustments were cancelled and the user that performed the cancellation will be logged.



Closed Count Adjustments 

  • On the menu select Logistics -> Counting -> Count Adjustments -> Closed Count Adjustments. 
  • Count adjustments with a status of “Complete” or “Cancel” will be displayed on the “Closed Count Adjustments” tab. 
  • By default, the last 3 months of closed count adjustments will be displayed.



Count Cancellations

Count Cancellations is used to cancel open count records (Active or Recount) in a batch process. 

  • On the menu select Logistics -> Counting -> Count Cancellations. 
  • Click on the “Create New” button. 
  • To perform a full cancellation for this client, select the client from the “Client” dropdown and then set “Full Cancellation” to “Yes”. Click the preview button to view the predicted count cancellations. Click the “Create” button to create this full cancellation and cancel all associated count records for this client. 
  • Count Cancellations also allows the user to create count cancellations based on various filters to control what count records will be cancelled. Select the client from the “Client” dropdown and then set “Full Cancellation” to “No”. The following filters can be set to control what count records will be cancelled: 
    • Max Count Records: Limits the total number of count records to be cancelled for this count cancellation. E.G if the user specifies 100 as the “Max Count Records” then only the top 100 count records will be cancelled. 
    • Type: Filters the count records to cancel by count type. E.G this allows the user to cancel all Planned Counts or Continuous Inventory count records for a client.

Count Access

Count Access provides a view of what count types a client has access to. 

  • On the menu select Logistics -> Counting -> Count Access. 
  • If no client is listed next to a Type, then all clients within the DC have access to this type.
